Important Notes

  1. In light of the ongoing COVID-19 situation and in accordance with recommendations on social distancing and group gatherings, the University has decided to hold the Congregation on a smaller scale this year, and that only the graduands will be invited to attend in person in Grand Hall, Lee Shau Kee Lecture Centre, Centennial Campus, HKU. Despite so, the Congregation will be broadcast live online. Rooms in Centennial Campus has also been reserved for registered family and friends who would like to watch the livestreaming of the ceremony proceedings and share the joy in HKU Campus.

  2. Each graduand can invite a maximum of 2 guests to watch the livestream in reserved rooms in the HKU Campus. Please specify the number of guests during online registration. Seats are limited and offered on a first-come-first-served basis according to the registration time. Additional guest will not be entertained.

  3. The University will keep monitoring the situation and make appropriate adjustments to the ceremony arrangements whenever necessary. If the COVID situation worsens and in-person participation of graduands becomes impossible, a virtual ceremony in an online format will be organised to confer the degrees. Please stay tuned for our updates in due course.

  4. A confirmation package with details of the Congregation will be sent to you via email by Monday November 29, 2021. Please complete the online Health Declaration Form during November 29 to December 2, 2021 4pm (HKT) in order to obtain your unique QR CODE as admission ticket and individual QR code(s) for your registered number of guest(s). A confirmation email will be sent to you upon your completion of the Form. NO admission of graduands and guests will be allowed without the presentation of the unique QR code(s). Please note that the QR code is a personalised code which can only be scanned once. Please DO NOT share your unique QR code to others. The Faculty reserves the rights to refuse admission if you did not complete the Health Declaration Form or show symptoms of COVID-19.

  5. Please collect your own set of BARCODE CARD (printed with your name, seat number and barcode) at the registration counter. The barcode card will be used as your entrance ticket to Grand Hall and presentation order on stage. You will NOT be allowed to be presented on stage if you are not holding your own set of barcode card. Please bring a printed copy OR show the e-version (by phone) of the confirmation email with your unique QR CODE to Faculty staff at the reception desk for identification purposes to facilitate the collection of your personalised barcode card. Graduands arriving after the briefing and rehearsal time will NOT be presented on stage, and we regret that we will not be able to entertain any latecomers.

  6. You are required to bring a full set of ACADEMIC DRESS and please refer to the HKU Congregation website for details of loan of academic dress. NO academic dress will be provided at the ceremony. You will NOT be allowed to be presented on stage if you are not in full academic dress.

  7. Suggested Dress Code:

    • Gentlemen: Suit, Tie and Leather Shoes
    • Ladies: Suit and Leather Shoes
  8. Registered family member(s) and guest(s) will be allowed to enter the reserved rooms at 12:15pm (for Session 1) and 4:15pm (for Session 2) onwards. Your guest(s) unique QR code(s) can be found from your confirmation email. Please pass the email and unique QR code(s) to your guest(s). Additional guest will not be entertained.

  9. Graduands attending the Congregation will be presented on stage, please be PUNCTUAL:

    • Doctor’s Degrees: individually on stage
    • Master’s Degrees: 2 graduands on stage
    • Bachelor’s Degrees: 4 graduands on stage

    Late comers shall NOT be able to be presented on stage as this will cause serious disruption to the order of the Congregation. In the event that you are no longer able to join the Congregation as previously registered, please kindly contact us at fosscong@hku.hk before Thursday December 2, 2021.

  10. Professional photographers will take photos for graduate when they are on the stage. Photos can be downloaded from the website http://www.socsc.hku.hk/congreg/2021/ from February 1 to March 31, 2022. As photo files will not be available after March 31, 2022, please save them for your own retention. Individual request for photos will NOT be entertained. The Faculty will not be responsible for any unsatisfactory/poor quality photographs.

  11. You should NOT linger in the Grand Hall and Foyer anytime before and during the Congregation. Your registered family member(s) and guest(s) will be guided to the assigned rooms for watching live broadcast and you can take photographs with them after the Congregation. Please ensure that full attention is given to children throughout the entire ceremony. Children under 6 is not permitted. Smoking, drinking and eating are NOT permitted. Please ensure that you have switched off all sound-emitting devices, such as mobile phones and pagers once the Congregation has started.

  12. Body temperature of all participants and guests shall be taken before they enter the venue. Anyone with a fever should be asked to leave the venue and consult a doctor immediately (https://covid19.hku.hk/the-covid-19-info-hub/faqs-all/#control).

  13. All participants and guests should wear a face mask throughout the event.

  14. All participants and guests should follow the seating arrangement to facilitate appropriate physical distancing.
